ExamPass (exampass.ca), a service of 1000701896 Ontario Inc. ("ExamPass," "we," "us," "our"), explains here what personal information we collect, why, how we handle it, and the choices you have. We handle personal information in a manner consistent with PIPEDA's ten fair-information principles.

1. Who is responsible

ExamPass is accountable for the personal information in our care. Our privacy contact is info@exampass.ca.

2. What we collect

We collect only what we need to run the Service:

  • Account information - your name and email address, and a securely hashed password, when you register.
  • Profile information - when you unlock a product, we ask for your name, and optionally the education provider you are studying through (one of the approved Ontario providers) and the city you are based in. The provider and city are optional and you can leave them blank. We use this information to personalize your experience and to understand our learner base so we can improve the Service.
  • Purchase information - a record that you bought a product, the amount, and a Stripe transaction reference. We do not collect or store your full credit-card number. Card payments are processed directly by Stripe; card data is handled by Stripe under its own security standards and privacy policy.
  • Study and usage data - your progress, answers, scores, and how you use features, so the Service can show your readiness and improve.
  • AI Tutor messages - if you use the optional AI-powered study assistant (the "AI Tutor"), the questions you type and the related study content are processed to generate a reply. Please do not enter sensitive personal information into the AI Tutor.
  • Technical data - basic device, browser, and log information, including IP address, used for security and to operate the site.
  • Communications - messages you send us, such as support requests.

We do not knowingly collect information from anyone under 18, and the Service is intended for adults.

3. Why we collect it (purposes)

We use personal information to: create and manage your account; provide and personalize the Service and your access window; personalize your experience (for example, using your name); understand which providers and regions our learners come from so we can improve and prioritize our content (using the optional provider and city, where you choose to give them); process purchases through Stripe; provide support; secure the Service and prevent abuse; meet legal and tax obligations; and, only where you have opted in, send you product updates. We identify the purpose at or before the time we collect the information.

4. Consent

By creating an account and using the Service, you consent to the collection, use, and disclosure of your personal information as described here. Where the law requires express consent (for example, marketing email), we ask for it separately, and you can withdraw consent at any time, subject to legal or contractual limits, by contacting info@exampass.ca.

5. How we share information

We do not sell your personal information. We do not use your education provider or city for third-party advertising, and we do not share that information with brokerages or other third parties. We share it only with service providers who help us run the Service, under contracts that limit their use of it, including:

  • Stripe - payment processing.
  • Supabase - database, authentication, and hosting of account and study data.
  • Our AI provider - to generate replies from the optional AI Tutor; only the question content and your typed message are sent for that purpose.
  • Fathom Analytics - privacy-first, cookieless website analytics; it helps us understand overall usage and does not receive information that identifies you.
  • Hosting and infrastructure providers (for example, our application host) - to serve the site.

We may also disclose information if required by law, to enforce our Terms, or to protect the rights, safety, or property of our users or ExamPass.

6. Where information is stored

Our providers may store or process data on servers located in Canada, the United States, or elsewhere. When information is handled outside Canada, it may be subject to the laws of that jurisdiction. We use reputable providers that offer appropriate safeguards.

7. How we protect information

We use reasonable administrative, technical, and physical safeguards appropriate to the sensitivity of the information, including encryption in transit, hashed passwords, and access controls. No method of transmission or storage is perfectly secure, but we work to protect your information and to limit who can access it.

8. How long we keep it

We keep personal information only as long as needed for the purposes above or as required by law (for example, tax records). When it is no longer needed, we delete or anonymize it.

9. Your rights

Consistent with PIPEDA, you may ask to access the personal information we hold about you, ask us to correct it if it is inaccurate, withdraw consent for non-essential uses, or ask us to delete your account. Contact info@exampass.ca and we will respond within a reasonable time. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada.

10. Cookies and analytics

We use only essential cookies, to keep you signed in and remember your preferences. We do not use third-party advertising pixels, and we do not sell your information.

For analytics we use Fathom Analytics, a privacy-first, cookieless service that helps us understand overall usage so we can improve the Service. Fathom does not set cookies, does not track you across other websites, and does not collect personal information that identifies you.

You can control cookies through your browser settings; disabling some cookies may affect how the Service works.

11. Changes to this policy

We may update this policy. We will change the "Last updated" date and, for material changes, take reasonable steps to notify you. Continued use after changes means you accept the updated policy.
